Use the schedule builder (mobile)

Build and adjust schedules from your phone using the mobile tap-to-add workflow.

Before you start

The mobile schedule builder is designed for managers who need to build or adjust schedules on the go. Instead of drag-and-drop, it uses a tap-to-add workflow optimized for small screens. This tutorial covers the complete mobile experience.

1. Open a draft schedule on your phone

Navigate to the Schedules page from the bottom tab navigation on mobile. Find the draft schedule you want to work on and tap to open it. If no draft exists, create one first using the create action.

The mobile view presents a streamlined version of the schedule focused on one day at a time, making it manageable on smaller screens.

2. Understand the mobile view layout

The mobile schedule view differs from desktop. Instead of seeing the full week timeline, you work with a day-focused view. Swipe between days or use the date selector to navigate. People and their shifts are listed vertically for the selected day.

The compact layout shows position colors and shift times clearly, even on small screens. Focus on one day at a time to keep the workflow simple and avoid overwhelm.

3. Tap to add a new shift

To add a shift on mobile, tap the add button or tap an empty slot for a person on the selected day. This opens the shift creation flow where you configure the assignment step by step.

  1. Tap the add shift button or an empty slot
  2. The shift creation form opens as a bottom sheet or full-screen modal
  3. Fill in the required details (person, position, time)
  4. Confirm to place the shift

4. Select the person and position

In the shift creation flow, first select which person you are assigning. The list shows only people available for the selected day. Then choose the position and variant for this shift.

The mobile form filters positions based on what each person is qualified for, so you will only see valid options. This prevents impossible assignments without requiring you to memorize everyone's qualifications.

5. Set shift start and end times

Use the time pickers to set the shift's start and end times. The mobile interface uses native time selectors that are easy to use with touch. Pay attention to AM/PM or 24-hour format depending on your device settings.

Double-check the times before confirming — a shift accidentally set from 8 PM to 8 AM instead of 8 AM to 8 PM creates a very different schedule than intended.

6. Edit existing assignments

To modify a shift that is already placed, tap on it. This opens the shift detail where you can change the times, reassign to a different person, or change the position. You can also delete the shift entirely if it is no longer needed.

  1. Tap on an existing shift block to open it
  2. Modify the fields you need to change
  3. Save the updated shift
  4. Or use the delete option to remove it completely

7. Mobile-specific gestures and navigation

The mobile builder supports several gestures to keep navigation fluid:

  • Swipe left/right to navigate between days
  • Tap the date header to jump to a specific date
  • Pull down to refresh the schedule data
  • Use the bottom navigation to switch between schedule sections

8. Review your schedule on a small screen

After adding shifts, review the full day's schedule by scrolling through all assignments. Check for coverage gaps by verifying each position has someone assigned during the required hours.

For a complete picture of the week, navigate through each day. If you find it easier, you can switch to a desktop browser for the final review — the same draft is accessible from any device.
