Manage payroll and tips

Track payroll hours, distribute tips, and export pay data from your finalized schedules.

Before you start

Intermio helps you track payroll hours and distribute tips alongside your scheduling workflow. This tutorial covers how to navigate payroll features, understand pay context, and handle tips distribution for your team.

1. Navigate to the Payroll section

Open the Payroll page from your workspace navigation. This section aggregates all the pay-relevant data from your finalized schedules — hours worked, base rates, and tips — into a single view.

The payroll view is read-only for schedule data — it reflects the hours from published and live schedules. To change shift hours, adjust them in the schedule builder before the schedule is finalized.

2. Understand pay context from people records

Each person record in Intermio can store pay-related information such as hourly rates, employment type, and contractual hours. This data feeds into the payroll calculations, so keeping it accurate is essential.

  1. Open the People page and select a team member
  2. Review their pay-related fields (hourly rate, contract type, etc.)
  3. Update any outdated pay information
  4. These values are used automatically when calculating payroll totals

3. View payroll for a schedule period

The payroll view shows a breakdown for each schedule period. Select the period you want to review to see each employee's total hours, position-specific hours, and calculated pay.

Cross-reference this data with your actual payroll system. Intermio provides the scheduling-based calculations, but your accounting system remains the source of truth for actual payments.

4. Tips distribution

Intermio supports tips tracking and distribution. You can enter the total tips for a period and the system helps divide them among team members based on your chosen distribution method — equal split, hours-based, or position-weighted.

  1. Navigate to the tips section within payroll
  2. Enter the total tip amount for the period
  3. Select the distribution method
  4. Review the calculated split for each team member
  5. Confirm the distribution

5. Export payroll data

For integration with external accounting or payroll systems, Intermio allows you to export payroll data. The export includes hours, rates, calculated totals, and tips distribution for the selected period.

  1. Select the schedule period you want to export
  2. Click the export action
  3. Choose your preferred format
  4. Download the file and import it into your payroll system

6. Common payroll workflows

Here are the most common payroll workflows managers use in Intermio:

  • Weekly review: finalize the schedule, review payroll totals, distribute tips, export data
  • Monthly summary: compare multiple schedule periods side by side for monthly payroll processing
  • New hire setup: add the person record with correct pay rate before their first scheduled shift
  • Rate change: update the person record, verify it takes effect in the next schedule period

7. Troubleshooting payroll discrepancies

If payroll numbers look wrong, check these common causes:

  • The person record's hourly rate is incorrect or outdated
  • Shift times in the schedule were modified after the initial build
  • The schedule has not been fully finalized — draft shifts may not appear in payroll
  • A person was added to the schedule after payroll was already reviewed
