Before you start

  • An account linked to a workspace
  • At least one published schedule available

This guide is for employees who use Intermio to view their schedules, submit availability preferences, and stay updated on their work assignments. You do not need to be a manager — this covers the employee experience.

1. Log in and find your schedule

Open Intermio on your phone or computer and sign in with the account you linked when you joined the workspace. After signing in, you will land on your personal view where your upcoming shifts are displayed.

If you cannot see any schedules, your manager may not have published the schedule yet, or your account may not be linked to the correct workspace. Contact your manager if something looks wrong.

2. View your shifts

Your shifts are displayed with all the details you need: the date, start and end times, position, and any special notes from your manager. Tap on a shift to see more details.

The schedule shows shifts for the current published period. Past shifts are accessible in your history, and future schedules will appear as your manager publishes them.

3. Submit your preferences during collection periods

Before a schedule is finalized, your manager may open a preference collection period. During this window, you can tell the system which days and times you prefer to work, and which you would prefer to avoid.

  1. You will receive a notification when preference collection opens
  2. Open the preferences page for the upcoming schedule
  3. Mark your preferred and unavailable days or times
  4. Add any notes explaining your preferences (optional but helpful)
  5. Submit before the deadline — late preferences may not be considered

4. Check schedule updates and notifications

Intermio sends notifications when important schedule events happen: a new schedule is published, your shifts change, or a preference collection window opens. Pay attention to these notifications to stay current.

You can check notifications within the app. Make sure your notification settings are enabled so you do not miss important updates about your work schedule.

5. Request shift changes

If you need to change a shift after the schedule has been published — due to an emergency, conflict, or personal matter — contact your manager through the app or in person. Shift change requests go through your manager for approval.

The earlier you communicate, the easier it is for your manager to accommodate the change. Last-minute requests are harder to resolve because finding a replacement gets more difficult as the shift approaches.

6. View your earnings and tips

If your manager has configured payroll tracking, you may be able to see your scheduled hours and any tips distributed for completed schedule periods. This gives you transparency into how your compensation is calculated.

Remember that the amounts shown in Intermio are based on scheduled hours and may not reflect actual clock-in/clock-out times. Your official pay statement from your employer is the definitive record.

7. Tips for getting the most out of Intermio as an employee

  • Submit your preferences every time a collection window opens — consistency helps the scheduler learn your patterns
  • Check the schedule at least once a day during the first few days after publication
  • Keep your account information up to date, especially your phone or email for notifications
  • Communicate with your manager through proper channels rather than assuming shifts can be swapped informally
  • If your position qualifications change (e.g., you learn a new role), tell your manager so they can update your record
